Year Group Representatives

Year Group Representatives play a vital role in helping members of their year group stay connected with each other and the College through:

  • Collating updated contact details for their year group.
  • Gathering news from their year group for the annual College Magazine, Pieces, e-newsletter and the alumni webpage.
  • Encouraging members of their year group to attend reunions.
  • Helping to create opportunities for personal and professional networking amongst alumni and current students.
  • Aiding the College's fundraising efforts, where appropriate.
  • Harnessing any ideas from their year group on improving alumni relations.

Appointment and Reappointment:

  • All Year Group Representatives are appointed for an initial five-year period. If after this time no other member of the year group wishes to take on the role, the incumbent may continue in the role for a further five years, or even longer.
  • If at any time a Year Group Representative feels unable to continue their role, they should let us know. We will then work with them to find a replacement from their year group.

How the Development Office supports Year Group Representatives:

  • The Development Office will endeavour to provide any other administrative support that is needed (within reason) to support Year Group Representatives with keeping their year group and the Development Office up to date with alumni information.

Code of Conduct:

  • On receipt of any personal alumni information, representatives will become subject to the terms of the Data Protection Act 1998. Representatives must therefore agree to keep the information secure and not to pass it to any third party. When sending out emails to their year group, the representative must use the ‘blind copy’ function so that the addresses are not viewed by everyone (please ask the Development Office if you are unsure of how to do this).
  • When contacting their year group for news, the Year Group Representative must make members of the year group aware that the information they submit may be published on the website and in other communications.
  • In their role, the Year Group Representative is expected to be supportive of the College and its activities. This includes the promotion of College organised events, fundraising efforts, and existing tools for alumni engagement.
